Simple event operations and customer sharing

Keep studio work private and choose what appears on the customer's page. Select Photography, Video and/or Magnets for each event; external delivery does not upload or store your photo and video collections here.

How to

  1. In Crew and Equipment, keep searchable master lists and departments. Equipment has owned quantities and reusable kits made from existing items, not extra stock. Review extracted rows and kit contents before confirming a file import.
  2. Open the event's Crew or Equipment card to select resources. A dated event reserves every calendar day in its date range; existing timed bookings also count. Undated selections do not reserve availability. Resolve the conflict shown before saving; changing dates, stock or kit contents can also conflict.
  3. In event finances, record the agreed price, incoming payments and expenses manually; mark only received payments and paid expenses accordingly. Money in minus paid money out is the actual balance. This is an event ledger, not business accounting or automatic payment collection; access depends on your plan.
  4. Keep private notes, the running order and source/backup locations in the upper studio area. Source and backup entries record locations only: they do not copy, synchronize or verify files and never appear on the customer's page.
  5. In customer sharing, add important people and reference photos, instructions and shared shot requests. Customers can contribute where access permits. Historical private shot lists are not automatically shared; edits follow authorship rules.
  6. For Photography and Video, add named HTTPS delivery links and choose which to share. Links start private; private notes stay private. A link labelled Choose photos opens an external selection service, not an in-app photo-selection workflow. Magnets retain their design workflow.
  7. Keep original receipts and chosen import sources in the private document archive, separate from edited records. Download originals or a selected bundle. An accountant package shares only its selected documents through an expiring, revocable link, not the event or its finances.
  8. Use View as customer to review the shared page without customer activity being recorded. Saving does not notify anyone. Review the recipient, included changes and message before sending an update. Sent means provider acceptance, not delivery; opening WhatsApp, native share or copying a message does not prove it was sent.

Troubleshooting

An option is missing or the page did not load

Retry and check account or link access. For a shared event, contact the photographer; account owners can open Support.
